How card payments, verification, refunds and disputed transactions are handled when you book with The Travel Cafe.
Last updated: 19 October 2026
The Travel Cafe is a protected travel brand operated by EdEt Tours (Private) Limited. When you make a booking with The Travel Cafe, your travel booking contract is with EdEt Tours (Private) Limited, which remains responsible for the contractual obligations associated with your booking. The Travel Cafe (Private) Limited is formally authorised to accept payments on behalf of EdEt Tours (Private) Limited.
Accordingly, the merchant name or payment descriptor appearing on your bank or card statement may show The Travel Cafe (Private) Limited, or an abbreviation of that name. This payment arrangement does not change the identity of the company responsible for your travel booking or the Booking Terms applicable to your trip. If you do not recognise a transaction, please contact us so that we can help identify the payment. This does not affect your right to contact your bank or card issuer or to dispute a transaction.
By making a card payment towards a booking, you confirm that you have read and accepted the Booking Terms that apply to your trip and this Credit Card Payment & Chargeback Policy. Your payment does not alter the cancellation, refund or other conditions applicable to your booking.
We may retain records of your booking confirmation, itinerary, payment, acceptance of the applicable terms and relevant communications as evidence of the transaction and the services agreed.
Card payments are processed through a third-party payment gateway or payment service provider. We do not require or intend to retain your card security code or full card details within our own booking records.
The amount and currency payable will be shown or confirmed to you before payment. Your bank or card issuer may apply foreign transaction, currency conversion or other charges. These charges are imposed by your financial institution and are not controlled by us.
For the security of our guests and our business, we reserve the right to request additional information or verification before accepting or completing a card payment. This may include confirmation of the cardholder's identity or authority to use the card.
If the name of the cardholder is different from the name of the person making the booking, we may require the cardholder's express authorisation and appropriate verification before the payment is accepted. We may decline, delay or reverse a transaction where we reasonably believe that further verification is required or that a payment may be unauthorised or fraudulent.
Any refund due under the Booking Terms will normally be returned to the original payment method used for the transaction. Refund processing times may vary depending on the payment gateway, card network, card issuer or bank.
We are not responsible for exchange-rate movements, foreign transaction charges, currency conversion charges or other fees imposed by a bank, card issuer or payment provider. As a result, the amount appearing on your statement after a refund may differ from the amount originally shown in your card's billing currency.
Paying by card does not create a separate right to cancel or obtain a refund. Cancellations and refunds remain subject to the Booking Terms accepted for your trip, including the applicable cancellation periods, non-refundable deposit, supplier commitments and any special conditions disclosed before booking.
If you believe that a refund is due, please contact us so that we can review the booking and, where appropriate, process the refund in accordance with the Booking Terms.
If you believe that a card transaction is incorrect, duplicated, unauthorised or otherwise requires investigation, please contact us as soon as possible. We will make reasonable efforts to investigate and resolve genuine payment issues directly.
A chargeback or payment dispute does not by itself cancel a booking, change the Booking Terms or create an entitlement to a refund where one would not otherwise be due.
Where a chargeback or payment dispute is raised in relation to a transaction that we believe is valid, The Travel Cafe (Private) Limited, as the payment-accepting company, may respond to or contest the dispute through the relevant payment service provider or acquiring bank, where authorised to do so. EdEt Tours (Private) Limited may provide supporting booking and service records as the company responsible for the travel arrangements. Relevant evidence may include booking confirmations, itineraries, payment records, records of acceptance of our terms, correspondence, cancellation records, supplier commitments and evidence that services were provided or made available as agreed.
We take allegations of unauthorised or fraudulent card use seriously. Where we have reasonable grounds to believe that a transaction is unauthorised or fraudulent, we may suspend or cancel the associated booking while the matter is investigated and may provide relevant information to our payment service provider, financial institutions or lawful authorities where appropriate.
Nothing in this policy limits any rights that a cardholder may have under applicable law or the rules of their card issuer or card network.
This policy should be read together with the Booking Terms applicable to your trip. The Booking Terms govern your travel booking, including deposits, final payments, cancellations, changes and refunds. This policy explains the additional conditions that apply when a payment is made by credit or debit card.
If a particular card payment is subject to additional requirements imposed by our payment gateway or payment service provider, we will apply those requirements where necessary.
We may update this policy from time to time to reflect changes in our payment arrangements, security practices or legal requirements. The version applicable to a card transaction is the version made available to you when the relevant payment is made.
Contact us and we will be glad to help identify or resolve a payment issue.
